Reservable Spaces in Andrews House

Beginning in summer 2024, Andrews House will be the home of the Cogut Institute for the Humanities and a hub for the humanities and humanistic social sciences at Brown University.

Space in Andrews House is available for use by all Brown University units. The spaces in Andrews House are easily configured for a number of possible events, including lectures, readings, panels, conferences, and seminars.

Room 110, Room 106, and Gallery (Event Space)

Room 110, room 106, and the gallery are contiguous spaces that function as one modular event space and are booked jointly. All these spaces are flexible and can serve multiple purposes. The main event space, room 110, has two possible orientations for lectures with a maximum seated capacity of 68 (facing east) to 84 (facing west). Sample layout options are available to facilitate event planning.

Funding

For events hosted by academic units in the humanities and humanistic social sciences, funding may be available to offset costs to expand the accessibility or reach of an event (such as recording, live captioning, or live-streaming), or facilities costs for events in room 110. You can apply by filling out this brief form. Due to limited resources, we are unable to accept funding requests for non-humanities events or events not hosted by academic units at Brown. Requests are reviewed on a rolling basis until funding rolls out but should be submitted a minimum of 3 weeks prior to your event. 

    This flexible room is available for midsized conferences, meetings, lectures, and other special events.

    Maximum seated capacity: 84: lecture setup

    Furniture: Default furniture in the room includes 16 chairs, 3 couches, 6 armchairs, and 8 tables. Additional furniture is stored on the first floor. In total, 122 chairs and 16 rectangular (5’ x 2.5’) tables are available for rooms 106 and 110 combined. While you will not need to order additional furniture to be delivered to the building within these parameters, you will need to submit a facilities order to bring the furniture from storage.

    AV capabilities: There are projector screens on two walls, and a mobile TV monitor is available for Communication Access Realtime Translation (CART). Amplification may not be necessary for events that are not recorded or live-streamed, but for recorded events or live-streamed events, microphones are stored in a locked AV closet off of neighboring room 106. We recommend placing a Media Services order and having Media Services staff manage the AV, but if you wish to use the microphones without Media Services, the responsible party or other department representative can pick up a key from the Cogut Institute front office (room 105) during business hours before the event and return it directly after (or, for evening and weekend events, within two business days).

    This room has doors that open directly onto 110 and can either be used on its own as a breakout or reception space or as an overflow space (with monitor viewing) to increase the capacity of 110 for special events.

    Maximum seated capacity:

    • 18 to 22: seminar setup
    • 37 (lecture setup with podium) to 44 (lecture setup, as an extension of room 110)

    Furniture: Default furniture in the room includes 22 chairs and 8 tables in a seminar square.

    AV capabilities: There are a wall-mounted 75” monitor, speakers, and a Logitech Meetup Conferencing Soundbar with extension microphone. The room also offers the option of viewing content and audio from presentations in room 110.

    This area of the elegant first-floor hall outside room 110 features preserved historical details, including high coffered ceilings and a grand staircase (now decorative only), as well as new lighting for exhibiting artwork. The space can be reserved for receptions connected to events in room 110.

    Maximum standing capacity: TBD.

    Furniture: None. Tables may be brought from the event spaces for a reception (see details for room 110).

    AV capabilities: None.

    A total of 122 chairs and 16 rectangular (5’ x 2.5’) tables are available onsite in addition to 3 couches and 6 armchairs. They can be arranged in various configurations across 106, 110, and the gallery, with a facilities order to move sofas and bring furniture from Andrews House storage. Sample configurations are available: the slides can be downloaded, edited, and submitted with your facilities order.

    Room 006 (Teaching Space and Multipurpose Room)

    Size: 503 sq ft

    Maximum seated capacity: 24

    Furniture: Default furniture in the room includes 20 chairs around 8 movable tables in a seminar square, with 24 chairs total available.

    AV capabilities: There are a 75” monitor, speakers, and Logitech Meetup Conferencing Soundbar with extension microphone.

    Room 210 (Conference Room)

    AV capabilities: There is a 65” monitor, speakers, and Logitech Meetup Conferencing Soundbar with extension microphone.

    Room 211 (Seminar Room)

    Size: 557 sq ft

    Maximum seated capacity: 24

    Furniture: 24 chairs around a rectangular table.

    AV capabilities: Projector and screen with multiple cameras and microphones for hybrid conferencing.

    Room 310 (Classroom)

    This room is a registrar-controlled University space on weekday mornings.

    Size: 918 sq ft

    Maximum seated capacity: 36

    Furniture: 36 chairs and 18 movable tables.

    AV capabilities: Two monitors (75” on the north wall and 86” on the east wall) and multiple cameras and microphones for hybrid conferencing.

    Usage Information and Guidelines

    Please review the guidelines carefully. We are happy to offer advice on best practices for events in Andrews House and provide AV training prior to the event. Sample room setup diagrams with different layouts are available for the main event space. You can attach these to a facilities request or use them to set up the room yourself. Please reach out to us at humanities-institute@brown.edu with any questions you may have.

    Every event using Andrews House space must have a designated responsible party who will be on-site throughout the event, managing the event and serving as a contact for the Cogut Institute.

    While we can field questions or concerns if we’re available during weekday daytime events, Cogut Institute staff are generally unavailable to troubleshoot facilities, AV, catering, or other event details. The responsible party should be prepared to handle needs.

    Doors

    The building offers two entrances: a front entrance with steps and a courtyard entrance with a ramp. During the semesters, these doors are typically unlocked Mondays through Fridays 8:30 am to 5:00 pm. For evening and weekend events, the responsible party should email Institute Manager Ben Safran (benjamin_safran1@brown.edu) at least one week in advance to request that the building be unlocked during the time of the event. Exterior doors must not be left propped open or unattended.

    Elevators

    The building has a large elevator making all floors wheelchair accessible and convenient for facilities and catering services.

    Gender neutral restrooms are available on floors 1, 2, and 3. Additional, multi-stall restrooms are available in the basement.

    Food and drink are allowed, but guidelines should be followed to keep the space in good condition.

    Damage Prevention and Cleanup

    All rooms in Andrews House are carpeted, so rug pads should be used to prevent drips from beverage dispensers and other spills. Rug pads can be borrowed from the Cogut Institute, if requested ahead of time.

    At the end of an event, waste must be removed, and a facilities clean-up is required.

    The responsible party’s department or organization is responsible for any stains or other damage related to food and drink.

    Kitchenette

    For first-floor events during business hours, there is a kitchenette (room 102) that can be used as a back-of-house staging location for catering if needed. This room will typically be locked nights and weekends unless prior arrangements are made.

    Device Connections

    AirMedia is available in rooms 110, 211, and 310. HDMI and USB connections are available in all rooms with AV capabilities.

    Media Services

    Support from Media Services is required for all technology and AV needs in 106 and 110, unless the responsible party receives training on basic microphones and equipment from Cogut Institute staff beforehand. Student or external groups must use Media Services. Media Services may deny requests for support made fewer than 10 calendar days in advance of the event and may charge a $150 rush processing fee.

    Limited funds are available to support departments organizing humanities events. Please fill out this form to request financial assistance for Media Services costs.

    Damaged or Lost Equipment

    We reserve the right to ask departments to pay to repair or replace equipment that is lost or damaged while the AV closet key is in their possession.

    If you use the help of Facilities for room setup, you should submit your setup request well in advance through Planon. You may rearrange tables and chairs without the help of Facilities, but please be cautious with this historic space.

    All spaces must be returned to default setup at the end of the event.

    Departments organizing humanities events may fill out this form to request financial assistance for Facilities costs.

    When the event is concluded, all equipment and lights must be turned off. All windows must be closed. Exterior doors must be closed and all furniture must be returned to its prior location. The responsible party’s department or organization is responsible for returning space, furniture, and equipment in good condition. The responsible party’s department or organization may be invoiced for any damage to space, furniture, and equipment beyond normal use or for any loss of equipment.

    The responsible party must ensure that all attendees have left the building.
